At Aurelia Clinic, we value both our clients’ time and the time allocated for treatments. To ensure fair availability and the smooth running of the clinic, the following booking and cancellation policy applies to all appointments.
Booking Fees
A non-refundable booking fee is required to secure all appointments at Aurelia Clinic.
Booking fees are taken to reserve clinic time and confirm your appointment. This fee will be deducted from the total cost of your treatment on the day of your appointment.
Appointments are not confirmed until the booking fee has been received.
Booking fees are non-refundable under any circumstances, including cancellation, rescheduling outside the permitted timeframe, or change of mind.
Cancellation & Rescheduling
If you need to cancel or reschedule your appointment, we require a minimum of 48 hours’ notice.
● If 48 hours’ notice or more is provided, your booking fee may be transferred to a new appointment.
● If less than 48 hours’ notice is given, the booking fee will be forfeited, and a new booking fee will be required to secure another appointment.
Package Appointments
Clients receiving treatments as part of a pre-purchased treatment package must also provide at least 48 hours’ notice if they need to cancel or reschedule.
If less than 48 hours’ notice is given, the client will have the following options:
● Forfeit the scheduled treatment session, meaning the appointment will be deducted from the remaining treatments in the package, or
● Pay 50% of the appointment value in order to retain the treatment session within the package and reschedule it.
This policy ensures fairness and protects the clinic time allocated for each appointment.
Late Arrivals
Clients are kindly asked to arrive on time for their appointment.
If you arrive late, your appointment may need to be shortened to avoid impacting other clients. In some circumstances, if there is insufficient time to safely carry out the treatment, the appointment may need to be cancelled and rescheduled, and the booking fee will be forfeited.
No-Shows
Failure to attend your appointment without notice will be considered a no-show.
In this instance:
● The booking fee will be forfeited, and
● A new booking fee will be required to secure any future appointments.
Repeated missed appointments may result in Aurelia Clinic declining future bookings.
Prescription Treatments
Certain treatments offered at Aurelia Clinic require a prescription-only medicine (POM) or products that are ordered specifically for an individual client following consultation and medical approval.
Where a prescription treatment has been approved and ordered specifically for you:
● If you cancel your appointment with less than 48 hours’ notice, or
● If you fail to attend your appointment,
You will be charged the full balance of the treatment.
This is because prescription products are ordered and prepared specifically for the individual client and cannot be reused or transferred to another patient.
If you decide not to proceed with the treatment after the prescription has been issued or the product has been ordered, the full balance of the treatment will still be payable, as prescription medications cannot be returned, reused, or transferred to another patient.
By proceeding with a consultation and booking a prescription treatment, you acknowledge and agree to these terms.
Medical Suitability
All treatments are subject to medical suitability and practitioner assessment. Aurelia Clinic reserves the right to postpone or decline treatment if it is deemed not clinically appropriate or safe.
Where appropriate, alternative treatments may be recommended.
Right to Refuse Treatment & Client Conduct
Aurelia Clinic is committed to maintaining a safe, respectful, and professional environment for both clients and staff.
We reserve the right to refuse or discontinue treatment at any time if:
● A treatment is considered clinically inappropriate or unsafe
● A client is under the influence of drugs or alcohol
● A client behaves in a disrespectful, aggressive, or inappropriate manner
● A client fails to provide accurate medical information
● A client does not follow pre-treatment or aftercare advice
In such circumstances, any booking fees paid will remain non-refundable, and Aurelia Clinic may refuse future bookings.
Children & Additional Guests Policy
To maintain a safe, calm, and professional clinical environment, Aurelia Clinic operates the following policy regarding children and additional guests:
Children & Young Persons
● Aurelia Clinic operates a 14+ policy.
● Clients aged 14–17 years old must be accompanied by a parent or legal guardian to their appointment.
● The parent or legal guardian must be present during treatment and provide appropriate consent where required.
For health and safety, insurance, and safeguarding reasons:
● Children under the age of 14 are not permitted within the clinic under any circumstances, including waiting areas.
Additional Guests
We kindly ask clients to attend appointments alone where possible.
Clients may bring one guest for support; however:
● Guests are not permitted inside the treatment room.
● Guests must remain in the designated waiting area.
● Guests must behave respectfully and not disrupt the clinical environment.
Aurelia Clinic reserves the right to refuse entry to additional guests if it compromises safety, confidentiality, or the comfort of other clients.
Failure to adhere to this policy may result in the appointment being cancelled, and booking fees will remain non-refundable.
Policy Agreement
By booking an appointment with Aurelia Clinic, you confirm that you have read, understood and agreed to this booking and cancellation policy
